GENERAL DESCRIPTION OF POSITION:

This is stenographic and moderately complex work performed under the supervision of the Center Manager.

Duties involve typing, filing composing memos and other responsibilities related to clerical work. Work assignments are stable in nature and are carried out in accordance with instructions and established routines.

This position is supervised by the Center Manager

JOB DUTIES AND RESPONSIBILITIES:

1. Typing correspondence, reports, or other materials.

2. Compose and type answers to routine requests for information; types a variety of reports and specifications, tabulations, and similar material.

3. Arrange appointments, answer telephone and direct visitors as required.

4. Receive mail and assist in preparing materials for mail out.

5. Compile reports and forms, check against a variety of records in order to secure complete and accurate information.

6. Check and proofread handwritten materials for errors, including spelling and grammar, and type.

7. Maintain up-to-date files/ records in accordance with established filing system.

8. Operate all office machines: adding, calculator, mimeograph, photocopying, etc.

9. Enter daily attendance information in ChildPlus.

10. Assist in the center where needed. Perform other duties as assigned by Center Manager.
11. Abide by the Standards of Conduct.

12. Ensure PPE is worn while in work status during COVID-19.

13. Practice social distancing and proper hand washing during COVID-19.

 
Requirements:

DESIRABLE KNOWLEDGE, SKILLS AND ABILITIES:

1. Considerable knowledge of business English, spelling and punctuation.

2. Knowledge of office practices, methods and appliance.

3. Ability to type from clear copies and take dictation at a speed level within accuracy limits established to determine typing and stenographic skills, minimum typing speed of 60 words per minutes.

4. Ability to maintain clerical records and to prepare reports from such records.

5. Ability to compose routine letters and memorandums with only general instructions.

6. Ability to make mathematical computations and tabulations rapidly and accurately.

7. Ability to communicate effectively both orally and in writing.

8. Ability to exercise good judgment, courtesy, and tact in receiving office callers and in making proper disposition of problems.

DESIRABLE QUALIFICATION AND EXPERIENCE:

Associate Degree in Secretarial Science or two years college in a business area and two years’ experience as a secretary/Clerk.  Any combination of acceptable education and experience that enables the applicant to acquire the desirable knowledge, skills and abilities will be considered.

SPECIAL REQUIREMENTS:

1. Must meet minimal physical and medical standards.

2. Must have approved State and Federal background clearance.
